This notice covers personal information used by MARKA CAR RENTAL LTD through its website, driver portal and rental administration service.

Who is responsible

Information we collect

Enquiries include your name, email, telephone number, preferred vehicle and start date. If you become a driver, records may also include your address, driving and PCO licence details, proof of address, uploaded documents, review decisions, signed agreements, vehicle assignments, recorded payments, vehicle-condition and return records, penalty-charge information and messages.

The service also uses account and security records, sign-in sessions, audit events and notification preferences. If you enable device notifications, we store the subscription information needed to send them. Most information comes from you; authorised staff add administrative records and information arising during your rental.

Why information is used

• Enquiries and rental administration: to take steps at your request before a contract and to perform the rental agreement.
• Security and service administration: legitimate interests in protecting accounts, preventing misuse, communicating about the service and maintaining reliable records. These interests must be balanced against your rights.
• Legal obligations: where information must be retained or disclosed to meet applicable accounting, regulatory or other legal duties.
• Optional device notifications: with your permission, which you can withdraw in the portal or device settings. Email and portal service messages remain available.

Required enquiry details let us respond to your request. If necessary identity or rental information is not provided, we may be unable to approve an application or arrange a rental. Application and document decisions are made by authorised staff; the website does not itself make a final automated rental-approval decision.

Who receives information

Authorised MARKA staff and technical administrators can access information needed for their duties. Cloudflare provides website hosting, database, private document storage and email routing. Resend delivers service emails. Incoming mail to our contact address is forwarded to our managed Gmail inbox. Device push delivery uses your browser or operating-system notification provider. Google Fonts may receive connection information when fonts load.

Relevant information may be shared with professional advisers, insurers or public authorities where necessary for the rental, a claim or a legal obligation. International providers may process data outside the UK. The relevant transfer mechanism and safeguards depend on the provider and service; contact MARKA for details of the arrangements relevant to your information.

How long records are kept

Retention depends on why the record is needed: whether an enquiry is active, whether a rental is ongoing, outstanding balances or disputes, applicable legal record-keeping requirements, and the need to establish or defend a claim. Different records may therefore have different retention periods. Closing or suspending an account does not automatically delete rental or audit records. Contact MARKA for the retention decision applicable to your records or to request deletion.

Cookies, device storage and notifications

Secure sign-in uses a session cookie. Browser storage supports interface preferences and avoids repeating the introductory animation within the same tab session. Installed-app features and notification subscriptions support the portal. These functions are separate from advertising. The current website does not include advertising trackers or an analytics tool. Optional notifications can be disabled without closing your account.

Your rights

Depending on the circumstances and lawful basis, you can request access, correction, deletion, restriction or a portable copy of your information, and object to processing. Where processing relies on consent, you can withdraw it. Some records may need to be retained despite a deletion request. We may need to verify your identity before responding.
